Position Summary:

We are seeking a detail-oriented and proactive Admin Secretary with a background or strong understanding of geotechnical engineering to support the successful planning, execution, and delivery of projects. The role involves coordinating field investigations, managing timelines, supporting reporting, and acting as a liaison between internal teams, clients, and subcontractors

Key Responsibilities:

Coordinate geotechnical site investigations, including scheduling field crews, drilling, lab testing, and equipment mobilization.

Assist in preparing project proposals, budgets, and work plans.

Monitor project progress and timelines; track milestones, deliverables, and deadlines.

Maintain documentation and ensure compliance with project specifications and safety standards.

Communicate project updates to clients, consultants, and internal stakeholders.

Support the engineering team in compiling geotechnical reports, borehole logs, and data interpretation.

Manage subcontractor and vendor relationships related to field activities.

Assist in quality control and assurance processes related to field data and reporting. Organize and attend project meetings, prepare meeting minutes, and follow up on action items.

Use project management software to maintain schedules and documentation.

Qualifications:

Bachelor’s degree in Geotechnical Engineering, Civil Engineering, Geoscience, or related field. 2+ years of experience in a administration or support role, ideally within geotechnical or civil engineering.

Familiarity with geotechnical field and lab testing methods.

Proficiency in project management tools (e.g., MS Project, Asana, Primavera, etc.). Strong organizational and multitasking skills.

Excellent verbal and written communication abilities.

Ability to read and interpret technical drawings and specifications.

Valid driver’s license is Must (for site visits, if required).

Preferred Qualifications:

Experience coordinating geotechnical field programs.

Working knowledge of geotechnical software (e.g.,LIMS, gINT, GeoStudio, PLAXIS).

PMP or similar project management certification is an asset.
