Job Description

The Site Admin and Logistics Officer is responsible for managing day-to-day administrative tasks and overseeing logistics operations at the construction site. This role ensures smooth coordination between site teams, suppliers, and head office, while maintaining compliance with company policies, safety regulations, and project timelines.

Key Responsibilities:Administrative Duties:

  • Maintain accurate and up-to-date site documentation including attendance records, material records, equipment logs, and daily progress reports.
  • Manage site correspondence and ensure proper filing of documents (physical and digital).
  • Coordinate meetings, site visits, and inspections with clients, consultants, and government officials.
  • Prepare and submit weekly/monthly reports to head office and project stakeholders.
  • Handle site petty cash, process invoices, and coordinate with the accounts department for timely payments.
  • Assist in onboarding new site staff and workers (ID cards, induction, lodging arrangements, etc.).

Logistics Management:

  • Coordinate the delivery, storage, and distribution of construction materials, equipment, and supplies to and from the site.
  • Track and manage inventory levels to ensure uninterrupted site operations.
  • Liaise with procurement and transport teams to ensure timely delivery and return of materials.
  • Ensure proper documentation of inward and outward materials, including gate passes and delivery notes.
  • Maintain records of fuel usage, machinery logs, and transport schedules.

Compliance & Safety Support:

  • Ensure all site logistics and admin activities are in compliance with company policies and health & safety standards.
  • Assist the HSE team with site safety documentation and compliance tracking.
  • Maintain records of permits, licenses, and regulatory compliance as required.
