We are pleased to present this job proposal for the position of Administrator at Petrozad Lubricants and Grease LLC. As a fast-growing company, we are looking for a dedicated and skilled professional to support our daily operations and ensure smooth administrative functions.

Job Responsibilities

Managing office correspondence, emails, and calls efficiently.
Handling document filing, record-keeping, and office organization.
Managing office supplies and ensuring smooth day-to-day operations.
Assisting in maintaining office cleanliness and organization.
Assisting in scheduling meetings, travel arrangements, and event coordination.
Preparing meeting agendas, taking minutes, and following up on action items.
Coordinating with different departments to facilitate communication and workflow.
Assisting HR tasks, including maintaining employee records and processing paperwork.
Helping with onboarding new employees and organizing orientation sessions.
Assisting with visa processing, labor card renewals, and compliance with UAE labor laws.
Handling petty cash, invoices, and basic financial record-keeping.
Follow up with suppliers and handle all invoices.
Preparing All Documents required for every shipment.
Coordinate any related work with the Chamber of Commerce, for example; registering brands, and releasing Certificate of Origin (if required for shipment).
Assisting in preparing reports, spreadsheets, and presentations as needed.
Ensuring accurate data entry and maintaining confidential records.
Managing incoming and outgoing communication professionally.
Providing administrative support to management and staff as required.
Qualifications & Requirements

The ideal candidate should have:

2 Years’ Experience in administrative or office management.
Excellent communication skills in English & Arabic (Preferable).
Must be Multi-task and attention to detail and problem-solving skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and office software.
Strong organizational and multitasking abilities.
A positive attitude and willingness to learn and adapt.
know sales background is a bonus.
