JOB DESCRIPTION: OPERATIONS COORDINATOR (FREIGHT &LOGISTICS)
RESPONSIBILITIES:
1. Receive and handle requests from the Operation supervisor regarding.
2. Open job forms. Fill up job forms completely for each job will be forwarded to you.
3. Make sure all documents required for the shipments are complete and all details are correct.
4. Send requests for legalized invoices.
5. Coordinate with truck suppliers and drivers regarding truck details and inform the put email with updates.
6. Follow up the collection of shipments and handling.
7. Update clients regarding the collection and status of shipments through emails and phone calls.
8. Follow up with the suppliers regarding the whereabouts of the trucks. Give specific instructions to the drivers.
9. Prepare delivery notes and give to drivers to ensure the best delivery of shipments.
10. Send pre-alert to the agent broker in the border and final destination.
11. Follow up with the brokers in borders regarding the shipments.
12. Communicate with relevant people in the warehouse companies by: a.) Sending pre-alerts about the arrival of shipments.
b.) Arranging for palletization.
c.) Arranging for entry of laborer’s as needed in offloading /reloading the shipments.
13. Update daily trip/update sheet regarding the status of the truck.
14. Prepare forms regarding turnover of documents.
15. Inspect shipments during offloading and reloading regarding the following:
a.) quantity- check if the weight, type of commodities and number of pieces stated in the invoice is correct
b.) quality- check if shipment is damaged or wet and update on the mail about the status
16. Accept and verify invoice from suppliers with attached delivery notes.
17. You have to be flexible and able to accept to work between Safeway departments as per work Required.
