We are looking for an organized, professional, and reliable Secretary to support the daily administrative operations of our wedding and events company.

The ideal candidate should have excellent communication and organizational skills, be able to multitask effectively, and handle office responsibilities with accuracy and professionalism. Previous experience in the wedding, events, hospitality, or event management industry would be highly preferred, as the role may involve coordinating with clients, suppliers, vendors, and internal teams.

Responsibilities :

- Welcome visitors and clients in a professional manner.

- Answer and direct incoming phone calls.

- Respond to emails and general correspondence

- Schedule and coordinate meetings and appointments.

- Manage calendars and remind management of important meetings and appointments.

- Prepare meeting rooms when required.

- Print, scan, copy, and organize documents. - Maintain organized filing systems and company records.

- Prepare and issue invoices accurately using the company system, Microsoft Excel, or other relevant software.

- Send invoices to clients and maintain accurate invoice records.

- Follow up on invoices, payments, and required documents when necessary.

- Coordinate with the accounting department regarding invoices and payment records.

- Prepare basic quotations, letters, and administrative documents.

- Update Excel sheets and maintain accurate records. - Manage office supplies and ensure necessary items are available.

- Assist management with general administrative tasks.

- Coordinate with clients, suppliers, vendors, and event-related service providers when required.

- Assist with administrative coordination related to weddings, events, bookings, and ongoing projects.

- Maintain confidentiality of company and client information.

Requirements :

- Previous experience as a Secretary, Receptionist, or in an administrative role is preferred. - Previous experience in a wedding, events, event management, hospitality, or similar industry is highly preferred. - Familiarity with coordinating with event suppliers, vendors, clients, or production teams would be an advantage. - Proficiency in Microsoft Office, especially Word, Excel, and Outlook. - Good computer literacy and ability to use standard office equipment. - Basic knowledge of invoicing and document preparation. - Strong attention to detail and accuracy, especially when handling invoices and numbers. - Excellent verbal and written communication skills. - Excellent interpersonal and customer service skills. - Strong organizational and time management skills. - Ability to multitask and prioritize responsibilities effectively. - Professional attitude and appearance. - Ability to work independently and handle confidential information responsibly. - Previous UAE experience would be an advantage.
