Job Summary

We are seeking a highly organized, professional, and proactive Executive Assistant to support the General Manager and Chairman in daily operations. The role includes administrative support, coordination of meetings and travel, client communication, visa processing, and basic marketing support. The ideal candidate will be confident, discreet, well-spoken, and capable of representing the company in meetings with clients and partners.

Key Responsibilities Executive & Administrative Support

  • Manage daily schedules for the General Manager and Chairman
  • Plan, coordinate, and organize meetings (internal & external)
  • Prepare agendas, meeting minutes, and follow-up action items
  • Handle routine and executive-level emails professionally
  • Answer and manage phone calls, take messages, and redirect inquiries
  • Maintain organized records, files, and correspondence

Client & Communication Management

  • Act as first point of contact for clients and partners
  • Coordinate and attend meetings with clients when required
  • Prepare basic presentations and meeting materials
  • Follow up with clients after meetings (emails, confirmations, documents)
  • Maintain a professional and welcoming company image

Travel & Visa Coordination

  • Organize and plan business travel (flights, hotels, transportation)
  • Prepare travel itineraries and schedules
  • Handle visa applications and related documentation
  • Coordinate with embassies, travel agencies, and service providers

Marketing & Business Support

  • Assist in preparing marketing materials and presentations
  • Support basic marketing activities and client follow-ups
  • Help organize business meetings, events, and exhibitions
  • Coordinate with sales/marketing teams when needed

Required Skills & Qualifications Education & Experience

  • Bachelor’s degree in Business Administration, Management, Marketing, or related field (preferred)
  • Proven experience as an Executive Assistant, Office Manager, or similar role
